Administrative Assistant
Under general supervision, the Administrative Associate performs general clerical and administrative tasks that assist the department achieve its operational goals and objectives.
Qualifications
- Proficiency in Microsoft Office Suite Software.
- Capable of prioritizing and organizing workload to achieve best results.
- Must have problem solving and technical skills to develop and maintain a computerized tracking system to resolve day-to-day logistical issues.
- Ability to work under pressure and multi- task.
- Strong customer service and relationship skills.
- Strong decision making skills to evaluate system operational efficiency for new and evolving processes- often requiring on the spot decisions.
- Extensive computer skills to manage and track activities to maintain database for education and training programs.
- Results orientation by remaining focused on deliverables with commitment to excellence and timely results.
Position description
- Analyzes and interprets data and prepares reports.
- Use correct English grammar, spelling, and punctuation
- Schedules and coordinates meetings.
- Types letters, memos, forms and other correspondence.
- Picks up, sorts and delivers mail to appropriate person.
- Files and retrieves documents, records and reports.
- Maintains records, enters data and retrieves data as needed.
- Maintain department budget – maintain spreadsheet and monthly reconciliation
- Manage Visitor Center
- Proficient in ACT database management
- Prepare presentations and bid responses
- Monitor advertising and editorial schedules
